Why you should implement systems and processes for your marketing and content creation
Do you have a process to help with your content creation and marketing?
If someone started in your business tomorrow, how would you explain to them what you do?
How do you manage your day-to-day tasks and processes?
I know it seems like a LOT of questions, but Content Queen is here to help and support you.
Running a business can be hard and your brain can be filled with so much noise you don't have time to STOP and plan or think! That is where your systems and processes come into place.
This week we are looking at all things systems and processes to help you prepare your business for the new year!
What are business operations?
Let’s start from the beginning, what are business operations? These are the processes of everything you do in your business, when you map this out you can see what is working and what isn't for your brand.
These business operations can be anything from how you create social media content to how you onboard people into your business!
How to map out your business processes?
So now that you know your business processes, how do you map them out?
First off, you need to stop, think and review, before you even find a system that works you need to map it out step by step to save time later! You can use Google Docs or even make a voice note in your phone and translate this process to your notes - whatever works for you.
From there you want to find a system that manages these operations - remember, work smarter not harder!
What are business systems?
Yep, there is a difference between business operations and business systems!
Forbes.com explains it amazingly, they define a business system as a documented procedure that outlines how to do something in your business to achieve your goals. It’s essentially a standard operating procedure to give your employees, like a checklist for each task.
This list can be used at the beginning of each day to make sure each process that needs to be carried out runs as smoothly as possible. It removes the back and forth happening each day and avoids confusion as to who has which role in the organisation.
Business systems are amazing to allow all employees to work in their “zone of genius”, using the process you’ve formed and getting a system to help you will really allow you to save lots of time and energy down the track.
Systems like Trello, Clickup, Asana and Airtable are all awesome tools for this and are also there to help you find the way you do “your thing” within the business.
Why are business systems important?
Business systems are here to help you automate the processes within your business. Ultimately, you and your employees can work in your zones of genius and keep track of everything within the organisation.
How do we find the right systems for our business?
Understanding your business operations (finances, marketing, HR, operations) is super important when picking the right systems to suit your business. Think about what functionalities are important to you (for example - growing your team) and find the solutions that work towards this.
Look at your business, analyse what is working and what needs help and figure out what you need to get you from where you are to where you want to be. You might need multiple systems that then talk to each other using connector tools like Zapier, find out what this means to you - shortlist 3, and dive deeper from there. Think:
Am I going to enjoy being here? Is it easy to use? Is it something that will grow with your team? Is there enough support for this system?
Choose one and start to learn more. Press the buttons, have fun with it!
How do I review my systems?
To make sure your systems are working for you, there are a couple of things you can do:
Review your processes, look at what you do day-to-day and how you do it
Look at your workflows
Then look at the workflow and the systems, and ask yourself do they work together?
How does this relate to content creation and marketing?
How do you create your content or market your business? Are you the type of person to throw everything together last minute and be stressed each week?
Well, let’s stop that here - no more of that, it’s time to get the systems in place! We have a good place for you to start, especially in social media - click here to learn how, there are definitely some helpful tips!
What tools or systems do you need for content creation?
These are some tools to think about that you could use for marketing in your business (just a few ideas to take on board!)
A tool you can map out your strategy. Somewhere you can document where you show up, what content you create, and when you do it
A tool to actually write the content (where you create your Instagram captions or where you create the blog posts. Maybe this is a content calendar like Airtable or a Google Sheet/Google Doc)
A tool to help you with the visuals (maybe it is a Google Drive of your images, maybe it is Canva where you create the graphics)
A tool to schedule or post your content (whether you schedule for Instagram or need a hosting platform for your podcast)
A tool to keep you accountable (a project management tool so you know what days you need to create and what days you need to execute. This is how you remember)
A tool to measure it all (the insights on the content platform. The measurement is important because it tells you what is and isn’t working)
What are the systems we use at Content Queen?
Maybe there is a tool that does multiple things from above. But let us tell you our faves!
Trello/Google Document to map out the strategy
Airtable to write social posts and Google Docs for blogs and podcast notes
Google Drive of images and Canva for visuals
Facebook Creator Studio to schedule, Kartra for email marketing, Squarespace for my website, Anchor for podcasting

Google analytics and the social media platform insights for measurement
Final thoughts
Overall, our biggest piece of advice would be to just start and irritate the process! Find a tool and start to learn it at a pace that works for you (hint hint: we love Clickup).
